Before preparation starts
A source record should answer four questions without a side channel.
Which file is current? Who owns it? What use is permitted? What downstream work becomes invalid when the source is replaced?
Name who can answer for the record.
Mara Quill owns AST-0101; external reviewers may inspect the rendition but not download the source.
Replace the source without erasing the prior decision.
Version 03 becomes Current while Version 02 and its affected outputs remain visible as Superseded.
Stop missing metadata and restricted rights at the library boundary.
A record can remain findable while an absent rights owner or restricted source blocks downstream use.
Source versus preview
The production master and the browser preview have different jobs.
A TIFF, MOV, WAV, PSD, or INDD record may name the production source. The public interface serves only lightweight local previews and never pretends those derivatives are the master.
